British property at golden hour - self-employed mortgage documents guide

If you are self-employed and applying for a mortgage, you may hear several different document names:

  • SA302
  • Tax Calculation
  • Tax Computation
  • Tax Year Overview
  • Tax Return
  • SA100
  • Accounts
  • Accountant's Certificate

They are not all the same thing.

And having the correct income figure does not necessarily mean you have supplied the document the mortgage lender requires.

What Is an SA302?

An SA302 is HMRC's tax calculation.

It summarises the calculation arising from your Self Assessment return.

For many years, "SA302" became the mortgage industry's commonly used shorthand for evidence of self-employed taxable income.

HMRC now commonly describes it as:

Tax Calculation (SA302)

If you file through HMRC's online services, it may be available from your Self Assessment account.

If your return is filed using commercial software, the equivalent document may be called something such as a:

Tax Calculation

or

Tax Computation

The terminology can therefore differ while serving a similar purpose.

What Does the Tax Calculation Show?

The tax calculation provides information including taxable income and the resulting tax calculation for the relevant tax year.

Mortgage lenders may use this as evidence of the income reported to HMRC.

It is not the same document as your complete Self Assessment tax return.

What Is a Tax Year Overview?

The Tax Year Overview is a separate HMRC document.

It provides information relating to the tax position for the relevant year.

Mortgage lenders have historically used it alongside the Tax Calculation as a way of helping verify that the HMRC position corresponds with the income evidence supplied.

A lender asking for:

Tax Calculation + Tax Year Overview

is therefore asking for two separate documents.

Providing only one may result in another document request.

Is an SA302 the Same as My Tax Return?

No.

Your complete Self Assessment return can include:

  • SA100 main return
  • Self-employment pages
  • Property pages
  • Foreign-income pages
  • Capital-gains information
  • Other supplementary information

It contains considerably more information than the Tax Calculation alone.

A lender that specifically asks for an SA302/Tax Calculation is not necessarily asking for the complete tax return.

This distinction causes frequent confusion.

Why Might a Tax Return Not Be Accepted Instead?

You may reasonably think:

"The tax return contains the figures, so why isn't that enough?"

Because mortgage underwriting is document-specific.

A lender's process may require a particular form of income evidence.

The information being somewhere inside another document does not necessarily meet that evidential requirement.

This is an important principle in mortgage underwriting:

The right information on the wrong document can still result in an outstanding requirement.

What If My Accountant Uses Commercial Software?

Many accountants file tax returns through commercial software rather than through the taxpayer directly entering the return on HMRC's website.

In that situation, the equivalent tax calculation can often be generated from the software used to submit the return.

It may be called:

  • Tax Calculation
  • Tax Computation
  • SA302 equivalent

The Tax Year Overview can separately be obtained through HMRC.

The key is to establish what the particular mortgage lender requires and whether the document format is acceptable.

How Many Years Will the Lender Ask For?

There is no universal mortgage rule.

Depending upon the lender and case, it may request evidence covering:

  • Latest year
  • Two years
  • Sometimes longer history

The required period can depend upon issues including:

  • Trading history
  • Income trend
  • Business structure
  • Lender methodology

HMRC currently allows taxpayers to obtain SA302 evidence for previous tax years, but that does not determine how many years a particular mortgage lender will assess.

What About Limited Company Directors?

For a limited company director, personal HMRC documents may not tell the whole story.

Suppose the lender assesses:

salary + dividends

Personal Tax Calculations may be central to the evidence.

But suppose another lender's criteria allow consideration of:

salary + share of company profit

The lender is also likely to require relevant company information, potentially including:

  • Finalised accounts
  • Accountant's certificate
  • Business information

This is why the correct evidence depends partly upon the lender's chosen income methodology.

Do I Also Need Company Accounts?

Potentially.

For limited companies, lenders may require finalised accounts even where Tax Calculations have also been supplied.

Accounts show information that personal tax documents do not, such as:

  • Turnover
  • Business costs
  • Profit
  • Assets
  • Liabilities
  • Balance-sheet position

Different documents answer different underwriting questions.

What Is an Accountant's Certificate?

Some mortgage lenders use their own accountant's certificate.

This normally asks a suitably qualified accountant to confirm specified information concerning the applicant or business.

For example:

  • Income
  • Trading history
  • Ownership
  • Profit

The exact form depends upon the lender.

Do not assume a general letter from the accountant will replace a lender's specific certificate where one has been requested.

What About Bank Statements?

Self-employed applicants may also be asked for:

Personal bank statements

These can help evidence:

  • Personal income
  • Financial commitments
  • Account conduct

Business bank statements

These may be requested where the lender needs additional evidence concerning:

  • Current trading
  • Business cash flow
  • Recent performance

Not every lender asks for business statements in every case.

What If I Have Filed My Latest Return Very Recently?

Make sure the finalised information is available and the relevant documentation can be produced before relying upon the new figures for a mortgage application.

Where a return has only just been submitted, there can be a short period before HMRC's online systems make all corresponding documents available.

Do not submit a mortgage application on the assumption that evidence can definitely be produced immediately.

Why Do Figures Sometimes Not Match?

An underwriter may notice differences between:

  • Payslips
  • Tax Calculation
  • Accounts
  • Bank statements
  • Accountant information

A difference is not automatically a problem.

It may have a perfectly reasonable explanation.

But unexplained inconsistencies can delay underwriting.

Examples might include:

  • Director remuneration changing during the year
  • Salary paid at an unusual date
  • Dividends paid separately
  • Different accounting and tax periods
  • Amended tax returns

The best approach is to understand the discrepancy rather than hoping it is overlooked.

Self-Employed Mortgage Document Checklist

Depending upon the circumstances, be prepared for potential requests for:

  • Passport/identification
  • Address evidence
  • Personal bank statements
  • HMRC Tax Calculations / SA302s
  • Tax Year Overviews
  • Finalised accounts
  • Accountant's certificate
  • Business bank statements
  • Payslips for director PAYE income
  • Deposit evidence

This is not a universal lender checklist.

Mortgage321 will identify the documents relevant to the chosen lender and case.

Matthew’s View
“Self-employed mortgage applications are often delayed not because the applicant lacks sufficient income, but because the evidence does not answer the question the lender has asked. If an underwriter requests Tax Calculation and Tax Year Overview, sending the entire tax return and saying 'The figure is in there somewhere' is unlikely to make the case easier. Correct documents make underwriting easier to understand.”
